Computer Use policy for Small Business

 

TODAY'S SMALL BUSINESSES ARE UNDER A GUN.  Miss one step and your business is gone forever.

One of the worse things that can happen is your computers break, go down, crash etc...  The Number ONE reason it happens because there are no rules pertaining to the usage of your computers.  No rules=employees go crazy then you have to listen to all of the stupid excuses they come up with when your network is down, broke, crashed etc...

1.      " I’m just checking my email..."

2.       "I always get my music from here."

3.      "I bought this DVD at the store"

4.       "My daughter likes computers and she is good at it, she's on mine now..."

5.       "Why can’t they play with that one, no one is using it?"

6.       "It was the new guy"

7.       “I don’t let anyone see the porn I download”

Even if it is not an infection in your computer it may not work well with the Operating system you have.  In large companies they have servers, Alteris  (ground hog day) and someone watching everything that is going on.  But in small companies employees go crazy and do whatever they want.  So when your printers are not working, and your applications lock up, and motherboards fry,  small businesses are shelling out $100, $200, $500 even $1500 dollars to keep things running, when the money could have been used for product, bills or raises.

To keep from throwing away $100 to $1500 per month keeping your network running, you have to have rules.  You should institute a "computer use policy."  These are  rules that the employees  adhere to while using YOUR computers.  Here are some suggestions:

 All company information is confidential

 You have no privacy or expectation of privacy on the Company’s internet

 You may not bring in your own software for use on the company’s computers

Using the Company’s Internet services for the unauthorized downloading of software or file sharing software that is not specifically used for conducting company business.

Using the Company’s Internet services for downloading or distributing material in violation of copyright laws (i.e., movies, music, software, books, etc.).

 Using the Company’s Internet services for downloading or distributing pornography or other sexually explicit materials.

 Using the Company’s Internet services for any activities that could be construed as a violation of National/Homeland Security laws.

 Using the Company’s Internet services to post scams such as pyramid schemes or “make-money-fast” schemes to others via the Internet.

Using the Company’s Internet services to post or transmit any message or material which is libelous, defamatory, or which discloses private or personal matters concerning any person or group.

Using Company Internet services for running a private business or web site

Using the Company’s Internet services to post or transmit to unauthorized individuals any material deemed to be private, proprietary, or confidential information.

Attempting an unauthorized access to the account of another individual or group on the Internet, or attempting to penetrate beyond County security measures or security measures taken by others connected to the Internet, regardless of whether or not such intrusion results in corruption or loss of data.

Knowingly or carelessly distributing malicious code to or from company information technology resources.

You cannot view, install, and look at your personal email ever.

Using the Company’s Internet services to participate in partisan political activities.

Using the Company’s internet services for Shopping, looking for a job, searching for residents, talking to friends and relatives.

All information, Operating systems, applications, files etc… belong to the Owners of this company, and upon request in writing or verbally you must unlock or unhide or delete them or face criminal charges.

 

Compliance

Employees who violate this policy may be subject to appropriate disciplinary action up to and including discharge as well as civil and criminal penalties. Non-employees including contractors may be subject to termination of contractual agreements, denial of access and/or penalties both criminal and civil.

Policy Exceptions

Requests for exceptions to this Owner policy must be reviewed by the OWNER and approved by the Owner/Supervisor. Departments requesting exceptions should provide such requests to the OWNER. The request should specifically state the scope of the exception along with justification for granting the exception, the potential impact or risk attendant upon granting the exception, risk mitigation measures to be undertaken by the department, initiatives, actions and a time frame for achieving the minimum compliance level with the policies set forth herein. The OWNER will review such requests, confer with the requesting department and place the matter on the Owner's agenda along with a recommendation for Owner’s action.
